Documents for Proprietorship / Partnership Firms
For proprietorship and partnership firms, the Spices Board requires submission of the online application form along with a self-attested Import Export Code (IE Code), GST registration certificate, and PAN card. Partnership firms must additionally provide their partnership deed. A recent passport-size photograph of the proprietor or authorized partner, proof of fee payment, and a manufacturer’s certificate from the Directorate of Industries (if applicable) are also mandatory.
- Online Application Form (Form-1): Mandatory online application in the prescribed format.
- IE Code Certificate: Self-attested Import Export Code issued by DGFT, essential for exports.
- GST Registration Certificate: Self-attested copy for tax compliance.
- PAN Card: Self-attested copy of proprietor/firm PAN.
- Partnership Deed (for partnership firms): Legal document defining the partnership agreement.
- Fee Payment Proof: NEFT transfer receipt or crossed Demand Draft in favor of Spices Board.
- Manufacturer’s Certificate (if applicable): Certificate issued by Directorate of Industries for manufacturer-exporters.
- Photograph: Recent passport-size photograph of proprietor/authorized partner.
Documents for Private Limited Company (PVT. LTD.)
Private Limited Companies need to furnish the online application form along with the IE Code, GST certificate, and the company’s PAN card. They must also submit their Memorandum and Articles of Association (MOA & AOA), the Certificate of Incorporation, and a board resolution or authorization letter for the signatory. A photograph of the director or CEO, proof of payment, and a manufacturer’s certificate where relevant are essential for successful registration.
- Online Application Form (Form-1): Filled form generated via the Spices Board portal.
- IE Code Certificate: Self-attested certificate issued by DGFT.
- GST Registration Certificate: To establish tax compliance.
- PAN Card of Company: Self-attested PAN copy of the registered company.
- Memorandum & Articles of Association (MOA & AOA): Self-certified copy to prove incorporation and business objectives.
- Certificate of Incorporation: Issued by Registrar of Companies as proof of business registration.
- Board Resolution / Authorized Signatory Letter: Authorizing the person applying on behalf of the company.
- Fee Payment Proof: NEFT/Bank transfer receipt or DD.
- Manufacturer’s Certificate (if applicable): From Directorate of Industries for manufacturer-exporters.
- Photograph: Passport-size photo of CEO/director/authorized signatory.
Documents for Limited Liability Partnership (LLP)
LLPs are required to submit the online application form, IE Code, GST registration certificate, and the LLP’s PAN card. In addition, the LLP Agreement and Certificate of Incorporation issued by the Ministry of Corporate Affairs must be provided. An authorized signatory letter from the designated partner, proof of fee payment, a recent photograph, and a manufacturer’s certificate for manufacturer-exporters complete the documentation requirements.
- Online Application Form (Form-1): Filled and submitted online through the portal.
- IE Code Certificate: Self-attested copy issued by DGFT.
- GST Registration Certificate: Required for LLP tax compliance.
- PAN Card of LLP: Self-attested PAN copy of the LLP.
- LLP Agreement: Self-certified partnership agreement filed with the Registrar of LLPs.
- Incorporation Certificate of LLP: Proof of registration with Ministry of Corporate Affairs.
- Authorized Signatory Letter: Declaring the designated partner responsible for application.
- Fee Payment Proof: NEFT transfer receipt or DD.
- Manufacturer’s Certificate (if applicable): Directorate of Industries certificate for manufacturer-exporters.
- Photograph: Passport-size photo of designated partner/authorized officer.
Registration Process – Spices Board Registration
Step 1: Online Application Submission
Applicants must first register on the official Spices Board website and access the online registration portal. The process begins with filling out the application form in the prescribed format.Step 2: Filling Application Forms (Part I & II)
The application form is divided into two parts (Part I and Part II). Once completed, the system generates a unique application number which is required for all future references.Step 3: Uploading Required Documents
The applicant must upload self-attested copies of mandatory documents such as Import Export Code (IE Code), GST Registration Certificate, PAN card, and incorporation/industry certificates depending on the type of exporter.Step 4: Payment of Registration Fee
The prescribed registration fee must be paid either through NEFT/Bank Transfer or a demand draft favoring the Spices Board. The payment proof must be attached to the application.Step 5: Submission of Hard Copy
After completing the online process, applicants are required to download and print the completed application form. This form must be signed by the authorized signatory, sealed with the company stamp, and submitted to the Spices Board office.Step 6: Application Verification by Spices Board
Spices Board officials thoroughly review the submitted application and documents. Any discrepancies or missing details may delay the process, so applicants must ensure accuracy and completeness.Step 7: Issuance of CRES Certificate
Upon successful verification, the Spices Board issues the CRES Certificate (Certificate of Registration as Exporter of Spices). This certificate authorizes the applicant to export the scheduled spices legally from India.
